Privacy Policy

Wearable Wellness Guide is a physician-led wearable health intelligence subscription service. This Privacy Policy explains what information we collect from you, why we collect it, how it is stored and used, who we share it with, and the rights you have over it.

By creating an account or submitting data to WWG, you agree to the practices described in this policy.

1. Who This Policy Covers

This policy applies to all subscribers and visitors of wearablewellnessguide.com and the WWG report service. WWG serves subscribers internationally and applies the data-handling standards described below consistently across all subscribers, regardless of location.

WWG is a wellness intelligence service. It is not a diagnostic or treatment provider, and this policy should be read alongside our Terms of Service and Medical Disclaimers.

2. Information We Collect

2.1 Personal Information

• Name
• Email address
• Date of birth (used to verify you are 18 or older)
• Country of residence
• Payment metadata (your card details are processed directly by our payment provider, Lemon Squeezy — WWG never stores your full card number)

2.2 Health-Related Information

• Wearable device metrics, such as heart rate variability, resting heart rate, blood oxygen (SpO2), sleep architecture, training load, and running dynamics
• Composite scores provided by your device platform (e.g., Oura Readiness, WHOOP Recovery, Garmin Body Battery, Apple Vitals)
• Menstrual cycle data, where you choose to share it
• Continuous glucose monitor readings (e.g., Dexcom, Libre), where you choose to share them
• Home blood pressure readings
• Medications and health conditions you disclose to us
• ECG device-flag status (WWG reviews whether your device flagged an irregularity; we do not interpret raw ECG waveforms)
• AI-generated wellness summaries and physician review notes created from the above

2.3 Device Information

• Device type and model
• Firmware version, where disclosed by your device
• Wear-consistency and data-completeness information

We do not currently support Huawei devices.

3. Why We Collect This Information

We collect and process the information above to:

• Generate your Weekly, Monthly, Quarterly, and Annual Physician Reports
• Establish and refine your personal wellness baseline over time
• Support physician safety review of your submitted data
• Operate your account, billing, and support requests
• With your separate, opt-in consent only, improve our AI analysis and clinical framework, and contribute to wearable health research (see Section 8)

We do not use your health data to diagnose or treat any condition, and we do not sell your data.

4. How Your Data Flows Through Our Systems

Your data moves through the following pipeline:

Intake (Tally) → Secure structured storage (Baserow) → AI-assisted analysis (Anthropic Claude, via API) → Physician review → Report generation (Carbone) → Delivery (Postmark) → Personal archive (Google Drive)

Every report is reviewed and attested by a licensed physician before it reaches you — no AI-generated content is delivered without human physician review.

5. Where Your Data Is Stored

• Baserow — our operational database of record, protected by role-based access control and append-only audit logging.
• Google Drive — your personal, per-subscriber report archive, restricted to view-only access tied to your email address. We do not enable public link-sharing on any subscriber archive.

6. Who We Share Your Data With

We do not share, sell, rent, or disclose your data to third parties for marketing, advertising, or commercial purposes.

We share your information only in the following circumstances:

• At your own initiative, with a healthcare provider you choose to share your report with
• With de-identified research partners, and only if you have separately opted in to research use (Section 8)
• With the service providers listed below, who process data on our behalf under confidentiality and data-processing terms

7. Your Rights Over Your Data

You have the right to:

• Access the data we hold about you
• Correct inaccurate information
• Delete your data, subject to the retention schedule in Section 9
• Download and keep every report we have ever delivered to you — your report archive is yours permanently, regardless of subscription status
• Withdraw research consent for future data collection at any time (see Section 8 for what this does and does not affect)

To exercise any of these rights, contact us using the details in Section 11. We log and track every privacy request to make sure it’s resolved promptly.

8. Research Use of Your Data (Optional, Opt-In Only)

Separately from the operational use of your data described above, you may choose — at onboarding — to allow WWG to use your de-identified data to:

• Improve our AI analysis system
• Refine the WWG Clinical Framework
• Contribute to published wearable health research, under our Clinical Governance Chair’s direction

This is entirely optional and separate from your general acceptance of our Terms. You will be asked a clear, standalone question at onboarding: “May WWG use your de-identified data to improve our AI system and contribute to wearable health research?”

A few important details about this choice:

• Before any research use, we strip your name, email, and other directly identifying details from your data.
• You can opt out of future data collection at any time through your account settings or by contacting us.
• The choice you make before your first report cycle begins governs that cycle’s data and cannot be changed retroactively for it.
• Once your data has been de-identified and merged into aggregate research statistics, it is not technically possible to extract and remove your individual contribution — this is a limitation of anonymization, not a refusal to honor your request.
• No dataset is shared externally, published, or used in a partnership without independent internal review and sign-off first.

9. How Long We Keep Your Data

• While you’re an active subscriber: We retain your data for as long as needed to deliver the service.
• After you cancel: We retain your data for 3 months, then permanently remove it from our operational systems.
• Your delivered reports:Every PDF report we’ve ever sent you remains yours permanently and stays downloadable from your archive — this is not affected by our internal retention schedule.
• De-identified research data: Once your data has been anonymized and incorporated into aggregate research datasets, it is not retroactively removed by a later deletion request, for the technical reasons described in Section 8.

10. How We Protect Your Data

• Role-based access control across our database, so only the people who need access to your data have it
• Append-only audit logging — records of who accessed what, and when, cannot be altered or deleted
• View-only, email-restricted access to your personal report archive, with no public link-sharing
• Email authentication (SPF/DKIM/DMARC) to protect against spoofing of communications from us

12. Changes to This Policy

We review this policy at least once a year, and immediately whenever we make a material change to how we handle your data — for example, adding a new service provider or collecting a new type of data. If we make a material change, we’ll notify you before it takes effect.

This Privacy Policy works alongside our Terms of Service and Medical Disclaimers. If anything here seems to conflict with those documents, please contact us so we can clarify.
